Privacy Policy
Last updated: 8 July 2026
This policy explains how Glasi Ltd ("we", "us", "our") collects, uses and protects your personal data when you contact us, register as a candidate, or use our website. We are committed to handling your data lawfully and transparently under the UK GDPR and the Data Protection Act 2018.
Recruitment note. As a recruitment agency we handle two main groups of people: candidates looking for work, and client contacts at the businesses we staff. This policy covers both.
1Who we are (Data Controller)
The data controller responsible for your personal data is:
- Glasi Ltd — a company registered in England & Wales, company number 17147716
- Registered office: 63 Winchester Street, Botley, Southampton, SO30 2EB
2How to contact us about your data

3What personal data we collect
- Enquiry & contact data: your name, email address, phone number, the service(s) you're interested in, and anything you tell us in a message.
- Candidate data: your CV, work history, education, references, contact details, and — where a role requires it — right-to-work documentation, and DBS / background-check information for regulated sectors such as care.
- Client contact data: the name, role and business contact details of the people we deal with at employer organisations.
- Technical data: your IP address and basic browser information, collected automatically in our hosting provider's server logs, plus a cookie-consent preference stored in your browser.
We do not run advertising or analytics trackers on this website.
4Our lawful basis for processing (Article 6 UK GDPR)
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries & providing quotes | Legitimate interests (answering your request); or consent where you contact us first |
| Registering you as a candidate & putting you forward for roles | Legitimate interests and steps taken at your request prior to a contract |
| Right-to-work & sector eligibility checks (e.g. DBS) | Legal obligation (immigration & employment law) |
| Keeping financial & invoicing records | Legal obligation (UK tax law) |
| Storing your cookie-consent choice | Consent |
Where our basis is legitimate interests, we have balanced those interests against your rights and only proceed where they are not overridden.
5Why we process your data
- To reply to your enquiry and prepare quotes.
- To match candidates to suitable roles and introduce them to employers (with the candidate's knowledge).
- To meet our legal duties around right-to-work and background checks.
- To keep accurate business and financial records.
6How long we keep your data
- Enquiry / contact data: up to 24 months from your last contact with us.
- Candidate data: up to 24 months after our last meaningful contact, then deleted or anonymised — unless you ask us to keep it live for future roles.
- Financial & invoicing records: 6 years, as required by UK tax law.
- Cookie-consent preference: up to 12 months, then you'll be asked again.
7Who we share your data with
We share personal data only where necessary, with:
- Employer clients — we share a candidate's details with a prospective employer only with the candidate's knowledge, to progress a genuine role.
- Our hosting provider — who stores this website and its server logs.
- Our email provider — used to correspond with you.
- Google Fonts — serves the fonts used on this site (see international transfers below).
We never sell your personal data, and we do not use it for third-party advertising.
8International transfers
We keep personal data within the UK or European Economic Area wherever possible. Our fonts are served by Google Fonts, which may process your IP address on servers outside the UK; such transfers are covered by appropriate safeguards (UK adequacy / Standard Contractual Clauses). We do not use any US advertising or analytics tools on this site.
9Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you;
- Rectify inaccurate or incomplete data;
- Erase your data ("right to be forgotten");
- Restrict our processing of your data;
- Data portability — receive your data in a portable format;
- Object to processing based on legitimate interests.
10Withdrawing consent
Where we rely on your consent, you can withdraw it at any time by emailing [email protected]. You can change your cookie choice at any time by clearing this site's data in your browser, which will make the cookie banner reappear. Withdrawing consent does not affect processing carried out before withdrawal.
11Complaining to the ICO
If you're unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the UK's data-protection regulator, the Information Commissioner's Office (ICO), at www.ico.org.uk.
12How to exercise your rights
To exercise any of the rights above, email [email protected] or write to our registered office. We will respond within one month (30 days), as required by UK GDPR. There is normally no charge.
